How We Vet Your Documents

Below: why document integrity matters, our exact vetting process, what we refuse to do, how genuine students benefit, and the document mistakes that cause the most refusals.

Why document integrity matters

Embassies and universities cross-check your documents. They are not guessing. A visa officer can phone your university’s registrar, query a credential database, or ask your bank to confirm a statement. When something doesn’t match, the application fails — and the consequences are heavier than most students expect.

• Refusal on the spot. A single questionable document can sink an otherwise strong application.
• A fraud finding follows you. Under UK Immigration Rules, a refusal for deception triggers a mandatory 10-year re-entry ban across future applications. [Home Office caseworker guidance, gov.uk]
• Schengen and other systems share data. A deception finding in one European country can surface when you apply to another.
• Your university can withdraw the offer. Admissions teams revoke places when a credential check fails.

This is exactly why honest document verification for study abroad is a service, not a formality. We would rather tell you a document is weak today than let an embassy discover it later.

Our document vetting process

We check your file in layers, in the order an embassy would. Nothing gets submitted until it passes.

1. Originals and consistency

We start with the basics, because most problems live here. We confirm:

• Names match exactly across your passport, certificates, transcripts and bank documents (a mismatched middle name or spelling is a common refusal trigger).
• Dates, grades and issuing bodies are internally consistent.
• Certified copies and translations are properly stamped and, where required, legalised or apostilled for the destination country.

2. Credential verification

We confirm your qualifications are recognised in the destination country, using the real, official bodies — never a shortcut:

• uni-assist — the central application and credential-check service used by many German universities.
• Anabin — Germany’s official database of recognised foreign qualifications and institutions.
• ENIC-NARIC — the European network that confirms how your qualification compares in each country.
• WES (World Education Services) — credential evaluation accepted by many institutions for course-by-course recognition.

We verify which body your target university actually requires, then check your qualification against it before you pay any fee you don’t need to.

3. Bank statement authenticity

Proof-of-funds documents are scrutinised hard, because they are the most commonly faked. We check that your statements are genuine, recent, and tell a believable story:

• The account holder, balance and dates match what the destination requires.
• There are no unexplained lump-sum deposits days before the application (a classic red flag).

4. Sponsor verification

If a parent, relative or organisation is funding you, the sponsor’s documents have to hold up too. We confirm the sponsor’s relationship to you, their proof of funds, and a clear, honest sponsorship letter — so the funding story is coherent from end to end.

What we will NOT do

This is the part that sets us apart, and we want it in writing.

• We never fabricate documents. No fake certificates, no invented transcripts, no forged stamps.
• We never doctor or “edit” your documents. We will not photoshop a balance, change a date, or upgrade a grade.
• We never coach you to lie in a visa interview or on an application form.
• We never invent a sponsor or a funding source that doesn’t exist.

If your documents are real, vetting works entirely in your favour:

• Fewer refusals. Most refusals come from avoidable document errors, not from being a “bad” applicant. Catching them early protects you.
• A cleaner, faster file. A consistent, correctly formatted file is easier for officers to approve.

Common document mistakes that cause refusals

These are the errors we see most often from students across Nigeria, Ghana, Kenya, Zimbabwe and beyond:

• Name mismatches between passport, certificates and bank documents.
• Last-minute lump sums in a bank statement with no explanation of where the money came from.
• Funds held for too short a time — moved in just before applying, not seasoned for the required period.
• Missing or wrong legalisation — no apostille or consular legalisation where the destination demands it.
• Unverified credentials — applying without checking your qualification against uni-assist, Anabin, ENIC-NARIC or WES first.
• Inconsistent sponsor story — a sponsor whose relationship or finances don’t add up.
• Translations that aren’t certified — informal translations that an embassy won’t accept.

Every one of these is fixable before submission. None of them is fixable by faking a document.
